To: All Postgraduate Students
Dear student,
In preparation for the new academic year 2009-10, we are pleased to inform you of the followings:
1. Course Selection and Add/Drop
Course selection (for the whole year) for most of the postgraduate students will be held from 9:00 a.m. on11 August 2009 to 5:30 p.m. on 14 August 2009. However, some programmes may pre-assign courses for their students and still require them to select courses via the internet. Please visit the Graduate School Platform (Students) at https://www.gradsch.cuhk.edu.hk/pgstudent/main.htm and choose ‘Prog. Arrangement & Schedule’ under ‘Course Registration’ for detailed arrangements.
According to the Regulations, ‘a student shall take at least one course in each term, unless otherwise stated in the study scheme or approved by the Head of the Graduate Division concerned’. Students who do not want to take course in any term still need to login the system to indicate it. Returning research students who have already submitted their theses do not need to select any course.
Students who commence studies after the course selection period or who have missed the course selection period should select courses during the add/drop period. Students arriving after the add/drop period should consult their Divisions on the arrangement of course registration.
(Note: New students who have not yet confirmed their registration are NOT eligible to select courses. However, they may simply do so during the add/drop period.)
2. Confirmation of Admission Conditions (New Students Only)
Provisionally registered students should fulfil their admission conditions by the deadline specified on the admission notification, in order to confirm their registration. Otherwise, the student status will not take effect. For students who will receive postgraduate studentships (PGS), the PGS will only be effective after their registration is confirmed AND they have formally reported to their Divisions.
3. Student ID Card (CU Link)
New Students: If your registration is already confirmed, you may collect your Student ID Card from the CU Link Card Centre, located at Room 112, 1/F, Pi Ch’iu Building (Tel.: 2609-8507), on or after your Admission Date.
Returning Students: If your student ID card expires by 31 July 2009 but you will continue to study, please complete and submit the “Application Form for Change of Expected Graduation Date” to your Division. The form can be downloaded from the Graduate School Platform (Students). Upon receipt of the approval from the GraduateSchool, you may renew your student ID card at the CU Link Card Centre.
The office hours of the CU Link Card Centre are listed below:
Friday: 8:45 a.m. – 1:00 p.m.; and 2:00 – 5:45 p.m.
Saturday: 8:45 a.m. – 12:30 p.m. (August and September 2009 only)

4. Information on Web/Via E-mail
We shall make announcements via the Campus-Wide Email System (CWEM) and our homepage (http://www2.cuhk.edu.hk/gss/). Please check your CWEM mailbox or browse our homepage regularly. Otherwise, you may miss important information, e.g., course registers, student fee reminders, etc.
ITSC will send CWEM passwords to new students by post to their correspondence address starting from end July. New students may also collect them from ITSC when they collect their student ID cards, if they do not receive them by post.

5. Use of SMS
We may also send reminders to students on major activities from the Graduate Schoolsuch as course add/drop in the form of Short Message Service (SMS). If there is any change in your mobile number or if you do not want to receive our SMS reminders, please inform us by email at gradschool@cuhk.edu.hk.
6. Academic Reports
Academic results will be released via the Graduate School Platform (Students). You may browse/print your own academic report any time.
7. Postgraduate Student Handbook 2009-10
The Postgraduate Student Handbook will be posted on the Graduate School homepage in early August. Please read relevant parts of the Handbook regarding your studies, in particular the study schemes and IT Proficiency Test.
8. Term Dates of Academic Year 2009-10
The first teaching term of most taught programmes will begin on 7 September 2009. The Teaching Timetable will also be ready around early August. Students may check with their programme directly on the detailed class schedule, if necessary.
9. Fees
Apart from the tuition/continuation fees, the University may collect other fees such as retention fee (for students applying for leave of absence), thesis examination fee, etc. Students may check the information on the section of ‘Fees’ under ‘STUDENTS’ on our homepage at http://www2.cuhk.edu.hk/gss/.
10. Electronic Student Fees Debit Note
The Donations and Project Management Unit will email the electronic form of student fees debit note to students’ CWEM email account. Please refer to the relevant link shown at the bottom of this message.
11. Students with Outstanding Debts
The University Senate has approved a policy, with effect from September 2009, to withhold degree certificates from students with outstanding debts to the University, which include but not limited to unreturned library materials on loan or overdue fines, hostel fees, overdue fines for payment in arrears, etc. Please be reminded to observe and comply with the regulations.
12. Health Policy of the University
To safeguard our health, the University has set up a Committee on Health Promotion and Protection to coordinate the efforts and monitor the progress of work and evaluate the effective implementation of policies, strategies and action plans in regard to the areas of hygiene, prevention of disease on campus and promotion of health in general. Please visit the Committee’s website (http://www.cuhk.edu.hk/health_promote_protect/) regularly before and after you commence studies. Students from outside of Hong Kong may be required to take precautionary measures prior to their arrival.
13. Academic Honesty
The University places very high importance on honesty in academic work. A website on Honesty in Academic Work: A Guide for Students and Teachers (http://www.cuhk.edu.hk/policy/academichonesty/) has been set up providing guidelines and cases of academic honesty. Students should make themselves familiar with the content of this website and thereby help avoid any practice that would not be acceptable.
